Manage Resource Time Sheets

The Resource Time Sheet functionality in the Job Projects Resources menu allows users to record and allocate time or labor to specific projects. This feature is particularly useful for tracking project progress, managing resource utilisation, and ensuring accurate billing.

Although the Resource Timesheet function resides in the Job Projects module, it is equally relevant here, as employees from the Projects module will be creating resource-based timesheets for their team members. The process is as follows:

  1. Navigation – Go to Job Projects > Resources and then select then select the Resource Time Sheet item. SapphireOne will display the Resource Timesheet Entry screen ready for data entry.
  2. Project area – Enter the timesheet data as follows.
    • Resource ID –Enter the ID for the resource.
    • Dates & Times – Enter the required dates and times as applicable.
    • Other data – Enter data as required into this Project area. Extended documentation may be viewed by following the link to Resource Timesheet > Project area.
  3. Time Sheet area – Enter data as follows:
    • Job Project ID – Enter the required timesheet details, including Resource ID, Activity, Date, Start and Finish times, Cost, Quantity, Rate, and any additional notes. Extended documentation may be viewed by following the link to Resource Timesheet > Timesheet area.
  4. Reviewing – Review the entered data to ensure accuracy and completeness.
  5. Saving – Click on the green tick button on the main toolbar. This will save the current transaction and return the user to the main toolbar or the list.
  6. Posting – Posting the new Timesheet:
    • Navigate to Job Projects > Resources > Post Transactions.
    • Select the relevant Timesheet(s).
    • Select ‘Process’.

Resource timesheets must be posted, as only posted transactions will appear within the Working Transaction function. Unposted timesheets will not be available for users to import into the employees’ working transactions.
