Access Management Show Reports

The Show Reports function within the Management module of SapphireOne allows users to generate various reports tailored to their organisational needs. This guide will provide step-by-step instructions on how to configure and generate these reports. The steps are as follows:

  1. Navigate to Management > Analysis and select the Show Reports option. SapphireOne will display a Select Report alert with a list of current reports in the system
  2. From the Select Report alert, choose the type of report you wish to generate. Common report types include Sales by, Client, Item, Matrix and Rep (Sales).
    • An Are You Sure alert will be displayed asking the user if they want the report displayed using the default settings. Answer as required however, Yes will commence the report with default settings which may be altered as follows.
  3. From the options at the top of the screen, configure the necessary criteria as required. Note that both dates and periods may be selected for the range option. The period button is at the bottom of the screen! We will commence with the Query area.
    • Date Range – Select the Start and End Dates/Periods for the report.
    • Depart – Leave as All or select the required Department.
    • Transaction Type – Select either Orders or Sales.
    • Date – Select the Date In or Delivery Date.
    • Query Button – Once the options above have been selected select the query button to filter the results as selected.
  4. From the options at the top of the screen. We will next document the Display area.
    • Sort – Select the sorting as required from the drop down menu. The > button alters the direction of sorting from down or up.
    • Column by – Select from this drop down menu how the columns are to be sorted.
  5. Recalculate Button – SapphireOne will only display any alterations to the report when the blue Recalculate button is selected.When any alterations are made to the options at the top of the screen the report will not be updated to reflect the changes until the blue Recalculate button is pressed.
  6. Printing Options – At the bottom of the screen there are a number of Printing/Output options.
    • Export to HTML – When this button is selected, SapphireOne will create a HTML file and open the default browser to display it.
    • Export to CSV – When this button is selected, SapphireOne will create a CSV file for further analysis in external spreadsheet programs.
    • Print – When the print button is selected SapphireOne will immediately send the report to your local printer.
