Manage Project Tasks

The Project Task functionality in SapphireOne enables users to filter, analyse, view, modify, and create new tasks within a Job Project. This brief guide outlines the steps to manage tasks effectively, ensuring accurate tracking and reporting.

  • Navigate to Job Projects > Job Projects > Inquiry and then select the Project Task item. Sapphire one will display the PR Task list screen with a list of Tasks already in the data file.
    • Job/Project Populated – Users should note that when the items listed below are created, the majority of the data is automatically populated from the selected Job/Project.
    • From this list of Tasks the user may do one of the following:
  • New Task – Click the blue + button on the main toolbar. SapphireOne will open the New Project Task screen, ready for data entry.
    • ID – SapphireOne will automatically generate the ID based on a sequential number.
    • Prefix – Enter a prefix for the task name as required. Then proceed to the next field and enter a descriptive name for the task.
    • Project – As tasks are generally assigned to job projects, enter the relevant Job Project
    • Type – Select an option from the task type drop-down menu. Based on the selection (Task, Contract, Milestone, or Task Header), SapphireOne will immediately open the corresponding screen for further data entry.
    • Saving – Once the required details have been entered, the green tick button on the main toolbar will become active. Click this button to save the new record (Task, Contract, Milestone, or Task Header).
  • Viewing or Modifying- Select an existing Task from the list, then select the blue view or modify button on the main tool bar.
    • Saving – When the Modify button is used, save the modifications by clicking on the green tick button on the main toolbar as normal.
