Navigating Toolbars Menus and Pages in SapphireOne Overview
Navigating the menu system within SapphireOne is simple and intuitive. It should be noted that there is some variation in the functionality of the drop down menus between MacOS and Windows based platforms.
- Windows – The drop down menus have items grouped into additional sub-menus which can be accessed by hovering over the > arrow.
- Mac OS – Menus are grouped with headings within a single column.
Main Toolbar
Details of the toolbar in SapphireOne are defined below.
- Mode menu – This is where a selection is made from the eight modes available in SapphireOne. Those modes are Accounts, Inventory, Job Projects, Assets, Payroll/HR, Management, Utilities and Workbook.
- Toolbar menu – The main horizontal menu is unique for each Mode. With the following exceptions.
- File, Edit, History, Options and Help will be displayed for most modes.
- Sapphire Palette menu – The Palette menu is documented in detail in relevant articles linked. To summarise.
- Favourites – This button opens the Favourites palette.
- Inquiries – This button opens the Inquiries palette.
- Data Entry – This button opens the Data Entry palette.
- Reports – This button opens the Reports palette.
- Softphone – This Softphone button is used to initiate telephone calls if the SpliceCom telephone software has been installed.
- Company Name – The name of the currently logged in Company is displayed here. The demo company is ‘Bondi Blue Sydney‘.
- User – This is where the name of the currently logged in user is displayed. The demo company user is ‘SapphireOne Syd‘.
- Serial Number- The serial number for the data file is displayed here. The demo company serial number is ‘88888‘.
- Version Number – This is where the version number is displayed. This is very important as when a support call is made the, very first item that will probably be asked for is the version or build that you are currently running. Navigation Procedure Flow
Depicted below is the sequence the user will always follow for accessing all primary features in SapphireOne. Steps 1 to 3 will always be undertaken. The final sequence number 4 is included when required.
Note that the following is a composite screenshot showing all menus open at once, for the purpose of simplifying our explanation. You will not see this when you are running SapphireOne. This screenshot is only to demonstrate the order that the menus are selected in, each and every time.
- 1st Menu – This Mode Menu, is consistent for all users unless access restrictions are enabled for a given user. The default available modes of operation are without restrictions, from Accounts through to Workbook. You may use either the mouse or the function keys from one to eight across the top of the keyboard, to make a selection.
- 2nd Menu – This horizontal Toolbar menu is largely unique for each Mode. Since we have selected Accounts in the 1st menu this second menu is displaying File through to Options. Here we have selected Payables from the second menu.
- 3rd Menu – This Features menu is the drop down that is displayed when a selection is made from the 2nd menu. The features available for selection vary depending on your selection from the 2nd menu. Here the items available for selection are from Cash Payment through to Dashboards.
- 4th Menu – This Page menu will only be displayed if the feature selected has additional Pages. Their can be twenty or more pages included with some Features
- When the Page menu it is displayed it will be directly below the Mode menu at the left hand side of the main toolbar.

Page Menu
This screenshot displays the page menu when a Client Inquiry has been initiated and a Client selected for Viewing or Modification.
While the items on the page menu do alter depending on the function being used at the time. The first three displayed here – Details, More Details and Custom – are common.
The amount of pages included in a feature can be significant. There are 23 pages included in a Client Inquiry and for a Vendor Inquiry there are a similar number of pages.
