BAS Submission Overview
SBR 2 Standard Business Reporting 2
SapphireOne is compliant with SBR 2 Standard Business Reporting (SBR2) in Australia, which facilitates streamlined, accurate, and consistent electronic reporting. The software allows you to pre-fill your Business Activity Statement (BAS) submission and statement using integrated functionality.
Master Log in Warning
The BAS reporting function in SapphireOne is typically executed on a company-by-company basis, meaning the user must log in to a specific company to run the calculations, such as generating the BAS (Business Activity Statement) for Australia.
Here’s how it works:
- Logging into Specific Companies:
- The user logs in to the desired company to calculate taxes or generate BAS.
- For example, in the Bondi Blue instance, company identifiers currently are:
- 0 for Sydney
- 1 for Melbourne
- UK for the United Kingdom.
- Company-Specific BAS:
- As each BAS is generated, it is automatically assigned to the company for which it was created.
- This ensures that only the relevant company’s tax data is included in the calculation.
- User Permissions and Visibility:
- Users with the appropriate permissions will only have access to the BAS for the company they are currently logged into.
- This prevents users from viewing BAS statements of other companies, ensuring data segregation and security.
While it is still possible to run the Recalculate function from a Master login, it is strongly discouraged. Running this function from a Master login across all companies can lead to serious complications, including data inconsistencies or unintended modifications across multiple company data files.
It is important not to leave BAS statements unprinted or unsaved in SapphireOne. The system will continue to actively track all transactions that are part of the BAS, which can consume system resources unnecessarily.
Australian GST Calculation
Navigate to Management > Analysis and then select the BAS Submission item.
In SapphireOne, historical Business Activity Statement (BAS) submissions are retained within the data file for each company, accessible individually. This is depicted in the screenshot below where you’ll see a chronological list of previously processed business activity reports. Each entry provides a record of BAS Submissions completed, making it straightforward to review and manage historical data on a per-company basis.
Within the Printed Date column in the BAS Submission screen, SapphireOne indicates the printed date and locking of each BAS submission.
When a BAS submission is printed the following has occured:
- The Printed Date column will populate with the date the BAS submission was printed.
- This printed date serves as a confirmation that the BAS submission is completed.
- The submission is then effectively locked from further edits, ensuring data integrity for compliance purposes.
This feature helps users track the status of each BAS submission at a glance and ensures that historical reports remain unchanged after submission.
In SapphireOne, users can view and manage both historical and un-printed BAS submissions, with several buttons available at the bottom of the BAS Submission screen, specifically for generating various reports. To manage any BAS transaction in a SapphireOne data file, follow these steps:
- Selection – Begin by clicking on the BAS transaction you wish to work with from the list displayed on the BAS Submission screen.
- Reports – The area across the bottom of the BAS Submission screen has the following Reporting and Audit buttons available:
- Quick Report – Displays the Quick Report layout in SapphireOne. Enables the export and printing of all relevant data from the selected BAS record, ideal for quick reviews.
- Print Audit – This button allows you to print a detailed BAS Audit Report. To print, highlight the required BAS record and select the Print Audit button. The print dialog for the user’s respective operating platform, MacOS or Windows, will be displayed. The report now includes sequence numbers and extensive details for easier reconciliation.
- Export Audit – This button exports the BAS report as a CSV file. The exported CSV will open automatically in the default spreadsheet program on your platform (MacOS or Windows).
- Reconciliation – When the Reconciliation button is selected, SapphireOne creates a CSV file and automatically opens it in the default spreadsheet program on your operating platform, MacOS or Windows. This CSV file can then be used to assist in reconciling your BAS submission.
- GST Audit – When the GST Audit button is selected, SapphireOne first displays an alert outlining the report’s elements. It then prompts the user to enter a period, defaulting to the current period. This generates a CSV file showing the default Client/Vendor tax GL for the selected period, details included in the BAS, and any transactions not present in the GL.
- SBR area – In the SBR (Standard Business Reporting) area, you’ll find two specific buttons designed to streamline BAS reporting via the ATO’s online portal:
- Retrieve BAS – When the Retrieve BAS button is selected, an alert will be displayed, prompting the user to confirm the exact dates for the BAS being retrieved. It then retrieves an existing SBR 2 BAS that has already been printed and locked. Note that modifications are not permitted on any BAS submissions that have been printed and so locked.
- Prefill BAS – When connected to the ATO SBR site, select the Prefill BAS button to tell the ATO site to retrieve details from your general ledger accounts into a new BAS. All relevant data will populate the BAS data entry fields automatically, but review carefully for accuracy before proceeding.
- Other Buttons – These three buttons perform the following tasks.
- Recalculate – When when any changes are made to an unlocked BAS the user must use this button to recalculate all values for the BAS.
- Cancel – When this button is selected the currently selected BAS will be closed without saving any changes.
- View/Modify – This button is a Toggle and operates as follows.
- View – On initial entry to the BAS submission screen, this button will display the View option. When a locked BAS is selected, this button will display the View option only.
- Modify – If an un-printed BAS is selected the modify option will be displayed enabling the user to make modifications to an un-locked BAS.
Starting a new BAS Submission.
To start a new BAS in SapphireOne, you’ll need to have the Document Number provided by the Australian Taxation Office (ATO) for the relevant period. Here’s a step-by-step guide:
- Starting – To commence a new BAS, click on the New BAS submission at the top of the list of BAS returns.
- New – Then Select the New button to begin creating a new BAS.
- New BAS – After selecting New, a New BAS alert will appear, prompting the following data entries:
- Document Nº –Enter the ATO provided Document Number. SapphireOne performs basic error checking during this entry to help avoid mistakes.
- Start and End Dates – SapphireOne will auto-fill these dates based on the period, but it is essential to verify them before proceeding.
- Period – Confirm whether the period is quarterly or monthly, depending on your GST registration status.
- OK – This button will activate once the Document Number and dates have been entered correctly.
- Loading Data –When you proceed, SapphireOne will pull totals from the General Ledger accounts. If adjustments are required, they can be made on this screen. However, any changes must also be recorded in the Tax account for the relevant periods via a General Ledger Journal entry to ensure accuracy in reporting.
- SBR 2 Pre-filling – After completing the necessary registration with the ATO, follow these steps
- Connect to ATO – Once the required information from both the ATO and your company is provided, establish a connection to the ATO SBR 2 website.
- Prefill BAS – Once connected, the Prefill BAS button will activate. Selecting this button will prompt SapphireOne to auto-fill your BAS submission, streamlining the entry process.
- Checking – Ensure all details are reviewed for accuracy before submission.
These steps ensure that the new BAS is set up accurately and aligns with ATO requirements.
Business Activity Return
Navigate to Management > Analysis and then select the BAS Submission item.
The Business Activity Return depicted below is the first of two pages in your BAS report. It should be noted that the first and second sheets both have the same area name which is Business Activity Worksheet.
- Statement – This first sheet is the named the Statement Sheet.
- Calculation – The second sheet is named the Calculation Sheet.
SapphireOne automatically pulls totals from your General Ledger accounts to populate the necessary data fields. It is essential for the user to review these entries carefully to ensure accuracy before proceeding.
- Breakdown – The Breakdown button on the Business Activity Worksheet displays values associated with the tax scales utilised in generating a BAS report. This feature Is documented below in this article under the heading Reviewing Tax Scale amounts.
- PAYG Only – In SapphireOne, the PAYG Only checkbox within a BAS return is used to generate a BAS report that includes only Pay As You Go (PAYG) withholding amounts, excluding other GST or tax components. This is helpful if you need a BAS report solely focused on PAYG withholding obligations without including broader BAS items.
- Calculation Sheet – When the Calculation Sheet button is selected in SapphireOne, it opens the second sheet of your BAS activity return, providing detailed calculation information. On this second sheet, you’ll find the Statement button, which, when selected, returns you to the primary Business Activity Worksheet.
- Printing – Printing is the final step to save and lock your BAS submission; select the Print button, and an alert will confirm if the BAS has printed correctly. If you select Yes, the BAS submission will be sent directly to your printer, and SapphireOne will immediately save and lock the submission.
- Saving – To save any changes made to a BAS submission, select the Save button; however, note that saving alone does not lock the submission. Only the Print function, as outlined above, will save and lock the BAS submission.
- Recalculate –In SapphireOne, the Recalculate button for the BAS is typically greyed out by default. However, if a modification is made to an unprinted BAS, the option becomes active, enabling you to recalculate BAS values. This recalculation is essential as it updates the BAS to reflect any recent adjustments, ensuring the final values are accurate and up-to-date.
- In SapphireOne, the Recalculate button for the BAS typically remains greyed out by default. However, once a modification is made to an un-printed BAS, this option becomes available, allowing the user to re-calculate the BAS values. This recalculation is crucial as it updates and re-applies all changes, ensuring that the final values displayed, accurately reflect any recent adjustments.
- Cancel – You may select the Cancel button to close the screen without printing the record.
It is essential to avoid leaving BAS statements un-printed in SapphireOne, as the system will continue tracking all transactions associated with the BAS, consuming system resources in the process. Once printed and locked, the transactions are moved into history, yet you still have the ability to view or audit the BAS statement as needed.
Reviewing Tax Scale amounts
To assist in verifying data entry in the Business Activity Submission, SapphireOne provides a Breakdown button at the bottom of the Business Activity Worksheet area. When this Breakdown button is selected, the following Tax_Totals screen displaying a detailed breakdown of costs by Tax Code. This view is particularly useful for reviewing entries before finalising the BAS report.
- Tax Codes – Although all tax codes are listed, users should focus on the fields relevant to the BAS, specifically the G, W, F, and T areas. These represent the primary tax code areas needed for accurate BAS reporting.
- Note – This detailed breakdown is only accessible for the current month before the BAS is confirmed and locked by printing it.
Please note that the following two buttons pertain exclusively to the Tax Totals screen in SapphireOne and do not affect other two sheets in the Business Activity Return.
- Print – This button enables you to print the Tax Code report directly. The printer dialog alert will automatically be displayed for your selected platform, whether it’s MacOS or Windows.
- Cancel – When this button is selected the Tax_Totals screen will be closed returning the user to their Business Activity Worksheet screen.
BAS Submission Calculation Sheet
When you select the Calculation Sheet button from the Business Activity Statement sheet previously documented in this article, you will see that there are now four Tabs in the BAS Activity Worksheet area.
They are listed as Area G, Area W, Area F, and Area T in that order across the screen.
Area G – This is where information relating to Sales and Purchases is calculated.
Area W – This is where information relating to Salaries and Wages is calculated.
Area F – This is where information relating to Fringe Benefits is calculated.
Area T – This is where information relating to Installment payments to the ATO are calculated.
From each of the screens mentioned above, select the Statement button to return to the BAS main screen. For comprehensive guidance on calculating and reporting Australian GST within SapphireOne, please consult your SapphireOne BAS Workbook.
Removing G/L accounts from the BAS W tab calculation.
Although the procedure documented here is for the W Tab, Wages section of the BAS submission, both the Statement and Calculation sheets contain several underlined headings which function in exactly the same way when selected, as outlined below. When any of these underlined headings are clicked, the procedure remains consistent throughout.
This functionality primarily enables the user to view exactly which General Ledger accounts are currently included in that particular section of the BAS submission. Although, If the BAS is unlocked, the user will be presented with the Remove from G1 screen, which allows them to temporarily remove a GL account from the current BAS submission.
If the data file is correctly set up, changes to the general ledger setup for processing pays should not normally be necessary when following the procedure outlined below. Users will see one of two screens depending on whether the BAS transaction is unlocked or locked.
- Select BAS – Select/highlight the relevant BAS from the BAS Submission screen.
- View – Select the View/Modify button to view the required BAS.
- Calculation Sheet – From the BAS Statement sheet select the Calculation Button.
- Once this Calculation Sheet is displayed select the Area W tab.

- Locked – SapphireOne will display a list of General Ledger Accounts currently being used to process pay runs. This screen is for viewing only as no modifications may be made to a locked BAS.
- Un-Locked – If the BAS is currently unlocked and the Total of Salary, wage and other payments underlined heading is selected, the Remove From G1 screen will be displayed which is documented next in this list.
- Remove From G1 screen – When the screen is initially opened the user will find that it is in two areas as follows.
- Include area – This area by default will display all General Ledger accounts that are currently being used for producing pay runs.
- Exclude area – This are is by default has no General Ledger accounts listed in it.
- Removal Procedure – From the list of transactions in the Include area proceed as follows
- Selection – From the Include area, select/highlight the GL Account or Accounts to be excluded.
- Exclusion – Select the Exclude Highlighted button to to move the Selected/highlighted GL accounts into the lower Exclude area.
- Re-Inclusion Procedure – The procedure is virtually the reversal of the previous procedure as follows:
- Selection – From the Exclude area select/highlight the GL Account or Accounts to be Included.
New Zealand GST Calculation
This screen will only be displayed for Non-Australian data files and is used to calculate tax amounts for New Zealand and some other countries. The Screenshots below are from the New Zealand company in the Bondi Blue demo data file.
Please note that for New Zealand and countries other than Australia, this screen only reads the totals from the General Ledger Accounts.
There are a number of options on this New Zealand tax report screen as follows;
- Use in Detailed – These checkboxes allow users to generate comprehensive reports that include all individual transactions contributing to the totals. Selecting these checkboxes provides a detailed breakdown of each transaction, offering greater transparency and facilitating thorough reviews or audits. This feature is particularly useful for businesses seeking to ensure accuracy and compliance in their tax reporting.
- Tax Paid A/C – This data entry field is designated for specifying the General Ledger (GL) account that records the Goods and Services Tax (GST) paid on purchases. This account tracks the GST amounts paid to suppliers, which can be claimed as input tax credits to offset GST collected on sales. Accurate assignment of this account ensures precise calculation and reporting of GST obligations.
- Display to Period – This data entry field specifies the accounting period up to which tax information is displayed. This setting allows users to input and then view tax data up to a particular period, facilitating accurate reporting and analysis for that time frame.
- Detailed – The Detailed button allows users to view a comprehensive breakdown of the tax report. When selected, it provides itemised details of transactions contributing to the tax figures, facilitating thorough analysis and verification of tax data.
- Print- The Print button enables users to generate a physical copy of the tax report.
- Functionality – Upon selection, the system sends the report to the designated printer, producing a hard copy for record-keeping or review purposes. This functionality ensures that users can maintain tangible documentation of their tax reports, which is essential for compliance and auditing.
- Filing – Once printed, the report can be printed for filing purposes.
Quick GST
Values may be changed on this screen but any adjustments made must be entered into the Tax account for the periods involved via a General Ledger Journal.
Alterations to New Zealands BAS Submissions.
- If you receive invoices after the date of your Business Activity Statement (BAS) submission, the system allows you to backdate these invoices to any prior year that has not been closed (i.e., periods 1–30). This flexibility ensures that all transactions are accurately recorded in the appropriate accounting periods, maintaining the integrity of your financial data. It’s important to note that while backdating is permitted, such transactions will not be included in the previously submitted BAS report but will appear in the GST Accrual report. This distinction is crucial for accurate tax reporting and reconciliation.
- If you notice a discrepancy between the amount of Tax Collected and Tax Paid, this can be due to the SapphireOne user allocating invoices received after the BAS Submission date to the period pre-existing their submission. discrepancies between the amounts of Tax Collected and Tax Paid can arise when invoices received after a BAS submission are backdated to periods preceding that submission. Such backdated transactions are not included in the already submitted BAS report but will appear in the GST Accrual report for the earlier period. This discrepancy occurs because the BAS report is finalised upon submission, whereas the GST Accrual report reflects all transactions, including those entered retrospectively. To maintain accurate tax reporting, it’s essential to monitor and reconcile these differences, ensuring that all transactions are appropriately accounted for in subsequent BAS submissions.
- In SapphireOne’s New Zealand tax configuration, users have the option to backdate invoices to a period preceding the date of the BAS submission. This feature allows for accurate allocation of transactions to the correct accounting period, even if they are received after the BAS submission date. However, these backdated invoices will not affect the submitted BAS report but will be recorded in the GST Accrual report for the earlier period.
- The Tax Collected and Tax Paid reflected in the BAS is based off all invoices entered prior to the BAS Submission date.
- A transaction dated prior to the date of the previous BAS Submission will not be included in the BAS report but will be included in a GST Accrual report. If a user wants to reconcile between the GST Accrual report and the BAS Submission report, if you have posted transactions to previous periods or historical dates, these two reports will never reconcile. The BAS report is exactly the same as a bank reconciliation. Furthermore, once the report has been processed the user is not able to modify or change it. However, for the GST Accrual report, it will pick up any additions or changes made to transactions after the BAS was completed.
- Any remaining amount of Tax Collected and Tax Paid for backdated invoices will be included in the calculations for the next BAS submission. This ensures that tax data remains up to date, with any discrepancies from backdated transactions accurately captured in subsequent reporting periods.
- For example, if you submitted your previous BAS on 20 January 2033 for the period 1 December 2032 to 31 December 2032, and then entered an additional transaction dated 1 December 2032 after submission, this transaction will not appear in any reports for 2032. Instead, it will be included in the next BAS period you submit, such as the period from 1 January 2033 to 31 January 2033. However, it will still be displayed in the GST Accrual report for December 2032, ensuring accurate historical data for that period.
SBR2 – Standard Business Reporting
The Australian Taxation Office (ATO) is transitioning from the original Standard Business Reporting (SBR) framework to the enhanced SBR2 system. SBR2 offers improved capabilities for business-to-government reporting, streamlining processes and increasing efficiency. As the original SBR is gradually phased out, SapphireOne will exclusively support SBR2 to ensure compliance with the latest ATO requirements.
What is SBR 2?
Standard Business Reporting or SBR 2 is a standard approach to online or digital record-keeping that was introduced by government in 2010 to simplify business reporting obligations.
Standard Business Reporting 2 (SBR 2) is a streamlined approach to digital record-keeping, introduced by the Australian government in 2010 to simplify business reporting obligations. SBR 2 is integrated into SapphireOne’s accounting software, making it SBR 2-enabled.
Key Features of SBR 2 in SapphireOne:
- Standardised Terminology – SBR 2 incorporates standard terms used in government legislation and reporting. These terms are linked to those embedded within SapphireOne’s software, creating consistency between business records and government requirements.
- Automated BAS Prefill – The system automatically extracts information recorded in SapphireOne’s software as part of regular business activities and pre-fills it into the BAS report for the pre-lodgement stage.
- Direct and Secure Submission – Once checked for accuracy, the BAS report can be submitted directly and securely to the government without requiring a separate portal login.
- Efficiency – Compared to traditional methods, SBR 2 can reduce the time for preparing and lodging reports to mere seconds.
- Integration with ABN and AUSkey – SBR 2 works with the Australian Business Number (ABN) and AUSkey, providing an efficient, modernised approach to digital record-keeping.
This integration ensures that businesses using SapphireOne stay aligned with digital reporting standards while enhancing speed and accuracy in submissions.
How SBR 2 Works
SBR 2, now integrated within SapphireOne’s accounting software, enables a streamlined approach to business reporting by automating data extraction and submission processes. Here’s how it functions within SapphireOne:
- Standardised Reporting Terms – SBR 2-enabled reports in SapphireOne use a dictionary of standard terms required for each report, aligning with government standards across multiple reporting requirements and facilitating future software development.
- Automated Data Extraction – When a specific report is selected, SapphireOne’s SBR 2-enabled system recognises the necessary information and pre-fills the report automatically.
- Direct Submission – After reviewing the pre-filled information, users can submit the report securely and directly to the relevant government agency. If updates are needed, changes can be made within SapphireOne, and the amended report can be resubmitted.
- Instant Confirmation – Upon submission, an immediate confirmation is received from the government agency, verifying that the report was successfully lodged.
- Simplified Reporting – This process eliminates the need for paper forms, re-entry into separate systems, or deciphering agency-specific terminology, significantly reducing time and effort.
With SBR 2, businesses can lodge reports directly from SapphireOne in just a few clicks, without generating separate electronic files or logging into external portals. This system offers the quickest and most efficient way to submit reports online.
Setting Up SapphireOne for SBR 2
Setting up SapphireOne for SBR 2 is straightforward, as most of the configuration is internal and not directly visible to users. However, one essential requirement is the acquisition of an AUSkey, which serves as the digital credential for secure communication with the ATO.
- Obtaining the AUSkey: You must obtain an AUSkey from the ATO. Detailed instructions are available on the ATO’s website.
- File Storage: Once downloaded, the AUSkey file will be named
keystore.xml
. SapphireOne typically stores this file in a folder named “AUSkey” on your hard drive, within a location that is usually hidden from the user. - Backup: It’s recommended to back up this AUSkey file. The ATO provides clear documentation on how to locate and back up this file on your system.
- For additional guidance on AUSkey setup and management, refer to the resources available on the ATO’s Website.
AUSkey location in SapphireOne
- Navigation – Go to Utilities > Controls and then select the Company Inquiry item. SapphireOne will then display the Details page of a Company Inquiry.
- Select Page – Next, select the More Details page as seen below.
Installing the AUSkey in SapphireOne
To link or upload the AUSkey file (keystore.xml
) into SapphireOne, follow these steps:
- SBR area – Scroll down to find the SBR area.
- Upload – Next select the Upload button in this area.
- Search – Your oprerating platforms search function will be displayed allowing the user to search for the required file.
- Uploading – When you find the AUSkey File select it to finilise the procedure.
- Note – If the user hovers the mouse over the data entry field in the SBR area, SapphireOne will display the file path to an already installed AUSkey. This allows users to verify the location of the currently linked key without needing to open file directories.
- Linking – The procedure above links the AUSkey file to SapphireOne’s software, enabling secure access to SBR 2 to the ATO’s functionality.
SBR 2 Credentials entry
The SBR 2 BAS area is where the credentials are entered that SapphireOne uses when logging into the ATO SBR 2 site.
- AUSkey – Your AUSkey is provided as an xml file so select the button and browse to where your AUSkey file is located and install it. (Documented above)
- Password – Next enter your Password into the KeyStore Password data entry field.
- Contact – Next enter in a Contact as required.
- Branch Code – Next enter in a Branch Code if required. It may be necessary if you have more than 1 key as the ATO website will use the branch code to differentiate your AUSkeys keys if you have more than one.
Once the AUSkey has been installed into SapphireOne and the -New BAS Submission- option selected the Retrieve BAS from SBR 2 button will become active. Once this button is selected SapphireOne will use the credentials as entered into the SBR 2 BAS area above to log into the ATO SBR 2 site securely.
Using and verifying the AUSkey installation:
- AUSkey Requirements – These are as follows
- You must have an AUSkey (you may also use an existing AUSkey).
- You must also ensure the AUSkey holder is authorised to the relevant registered agent number(s) in Access Manager (including setting the relevant Client’ permissions).
- New BAS – To start the process first you click on the New Bas Submission from the top of the list of BAS submissions.
- Prefill BAS – If the credentials are correct the Prefill button at the bottom of the screen will become active allowing the user to select it.
- Credentials – SapphireOne will now use the credentials documented above to access the ATO SBR 2 website.
- Errors – If there is a single eror ot typo the ATO website will not allow a connection to be made. Re-ckheck all items for your AUSkey and the credentials as entered
This initiates the BAS reporting procedure, as shown in the screenshots below.
If the ATO website verifies that the company has the correct credentials, a alert will confirm successful authentication. Once the ATO site accepts the connection, the Create BAS button will become active. At this point, the user should select the Create BAS button to proceed.
The ATO and SapphireOnes will now proceed with what the ATO calls an Activity Statement interaction. (AS) for short as follows.
What Are the Activity Statements Interactions?:
Most of the following documentation has been copied from the ATO website.
The Activity Statement interactions are used to report tax obligations, such as GST, PAYG instalments, PAYG withholding and fringe benefit tax instalments.
Activity Statements, AS, are personalised to each taxpayer to support the reporting requirements identified against the various obligations.
The AS interaction is a combination of four services supported by SBR 2:
Service: | Interaction: | Detail: |
List: | AS.List | Determine what reporting obligations one has. Retrieve a summary list of previously submitted AS and their outcomes / totals. (Initial Connection). |
Prefill: | AS.Prefill | When the user selectes the Create BAS button, SapphireOne request’s a specific AS with the correct obligations, pre-filled with data. |
PreLodge: | AS.PreLodge | When the user selectes the Pre Lodge Button, SapphireOne request’s a pre-submission validation of an AS without processing or locking of the AS. Note that this prelodge interaction is optional and can be repeated. |
Lodge: | AS.Lodge | The official lodgement of an AS for processing. (Lodge Button) The original lodgement cannot be repeated, but revisions to the activity statement are accepted. |
Activity Statement List (AS.list)
The activity statement list interaction can be used to request a list of reporting obligations or what reporting obligations have been submitted to date.
The list request must include whether one wishes to receive:
- Un-lodged obligations.
- A historical index of all lodged obligations, or
- All obligations past and present.
The list response will include the activity statement ‘Document identification number (DIN)’ for all activity statements. Please note that the DIN is mandatory for the prefill interaction.
Activity Statement Prefill (AS.Prefil)
The activity statement prefill interaction can be used to request a specific activity statement with the correct obligations, pre-filled. The successful response will provide prefilled customised data specific to the entity’s reporting obligations, including:
- AS Type, e.g. BAS C.
- Period/s.
- Taxpayer details.
- Taxation rates and
- Lodgement or payment due dates.
Obligations due are based on the roles registered against the entity’s account within the ATO. The four main obligations that can be included in the AS prefill are:
- Goods and Services Tax (GST)
- Income Tax PAYG Instalments (PAYGI)
- Income Tax PAYG Withholding (PAYGW) and
- Fringe benefits tax instalments (FBTI).
Activity Statement Lodge (AS.Lodge)
The activity statement Lodge interaction validates the data against both channel and processing validations, and where successful, updates the client account with the reporting obligation.
The response message, where the data has no errors will also return any required payment or credit details.
Original lodgement cannot be repeated, but revisions are accepted and can be repeated until successful message.
Checking the New BAS submission:
After the ATO system has finished interacting with SapphireOne, the software will return the user to the BAS Submission screen. If the user selected the PreLodge option, they will see a new, unprinted (unlocked) BAS statement at the top of the list Immediately below the new BAS Submission item.
Stop: | The first time that the BAS is accessed do not select the Lodge button as this will lodge the BAS return and lock it. This is the same as Printing the BAS and answering yes to the question Did the BAS Print Correctly. SapphireOne will then not allow any alterations to be made to it. |
The user must then select/highlight the new BAS statement and select the Modify Button button. When this is selected SapphireOne will display the Statement page of your new BAS. From here on very little has changed when a BAS submission is submitted as you will note that the BAS forms or screens are almost identical.
Since this BAS has been created using the AS interaction with the ATO site, the first page of your BAS statement will also display an additional two buttons Pre Lodge and Lodge.
Next select the Pre Lodge, button and this will cause SapphireOne to pre-fill the BAS allowing the user to review it. Once the Pre Lodge button has been selected this is the time to check the BAS return as you would do normally once the create BAS button was selected.
Final Lodgement:
The last procedure to do is your final official lodgement and again note that proceeding will lock the BAS.
Lodgement Summary:
You went and checked the printed BAS and something was incorrect so you answered No:
The BAS remained unprinted and unlocked. (Pre Lodge).
Answer Yes and the BAS is listed as Printed and locked. (Lodge)
The screen shot below indicates that the BAS has a printed date, so it is now Lodged and locked!
