Show Reports Assets Overview
SapphireOne’s Show Reports functionality empowers you to dynamically report on your Assets data. This versatile feature allows you to generate PDF reports or obtain hard copies. Alternatively, you can create an interactive real-time report by selecting your criteria, with the flexibility to print it in various formats.
Standardised Layout
In SapphireOne, a standardised layout is employed across all Show Report functions to ensure uniformity and user-friendliness. This consistency streamlines the user experience, as learning a single layout suffices for comprehending all Show Report screens, which share similar structures. Each report is accompanied by a title, automatically generated by SapphireOne, positioned below the options section. This title functions as a header for the items featured within the report.
Selecting a Report
After selecting a report option in SapphireOne, you have the flexibility to choose various criteria for the report, as documented below. Once the report has been generated, you can easily export it as either an HTML or CSV file. These files can be opened in any web browser or external spreadsheet program for your convenience.
Assets by Project Task
In SapphireOne, the Assets by Project Task report plays a pivotal role in providing a comprehensive overview of asset allocation and utilisation within various project tasks. This report is an indispensable tool for project managers and financial analysts as it offers a detailed breakdown of assets associated with specific project tasks, allowing for precise monitoring and resource allocation. With its intuitive layout, the report offers a clear visual representation of asset distribution, facilitating quick decision-making and optimising resource utilisation.
Dictation and Speech to Text Overview
SapphireOne’s Dictation (MacOS) and Speech to Text (Windows) functionalities revolutionise data entry. These features are available for any data entry field and all inquiry screens within SapphireOne. For instance, when a user makes a call via the SapphireOne Softphone, SapphireOne automatically timestamps the contact and phone number. Post-call, users can dictate notes directly into the CRM contact memo field in relation to the stamp.
This functionality is applicable across all Data Entry screens. As examples, when entering a Vendor Invoice (VI), users can dictate memos directly. Similarly, additional lines can be added to the General Ledger account, with each line having a unique memo field. After an employee interview, users can efficiently dictate notes.
Speech to Text and Dictation are powerful tools that SapphireOne and its clients use daily, significantly saving time.
Query Options Asset by Project Task
- Range Menu – For this Asset by Project Task show report is strictly by period only. Any selection made from the range menu the To and From data fields if altered should have numbers only entered.
- Range Selection – The From or To should have periods only directly entered by the user.
- Depart Menu – This button provides a drop-down selection that allows you to either choose from all departments within the company, or select a specific department for generating the report.
Display Options Asset by Project Task
- Outstanding + Accrued checkbox – Typically, a report in SapphireOne does not incorporate outstanding amounts. However, when the Outstanding + Accrued checkbox is selected, the report is configured to include any outstanding amounts. This checkbox option provides users with the flexibility to extend the report’s scope to encompass outstanding and accrued transactions, offering a more comprehensive view of their related financial data.
- Recalculate – In SapphireOne, the Recalculate button serves a crucial role in generating and updating reports. Users must select this button to trigger the initial calculation of the report based on the default settings. Furthermore, it is essential to select the Recalculate button whenever modifications are applied to the report settings.
Footer Buttons+
There are several buttons at the bottom of the Show Reports Page that Perform the following functions.
- Cancel Button – By selecting this button, the current report processing will be canceled.
- Export to HTML Button – Selecting this button will export the current report as an HTML file.
- Export to CSV Button- Selecting this button will export the current report as a CSV file.
- Print Button – By selecting this button, the printing interface for the current report will be opened.

Asset plant costing in SapphireOne is a fundamental feature for organizations aiming to gain precise insights into the expenses associated with their plant assets. This comprehensive costing system enables businesses to accurately calculate the costs involved in acquiring, maintaining, and operating plant assets throughout their lifecycle.
Query Options (Plant Costing)
- Depart Menu – This button provides a drop-down selection that allows you to either choose from all departments within the company, or select a specific department for generating the report.
- Range Selection – For this share report the plant costing is performed up To a period as entered here by the user.
- Query Button – If you need to filter the report based on specific criteria, such as a single vendor, you can perform a detailed query by selecting the Query button. This action triggers SapphireOne to display the detailed query pop-up, enabling users to search for any item in SapphireOne that meets the specified criteria.
Display Options (Plant Costing)
- Grouping Menu – This menu is a drop-down option that includes 2 items. It is used to group various items within the report, enabling users to organise and view data in a more meaningful way. With this feature, users can easily categorise and analyse Job Project data based on various criteria as follows.
- None – For a basic report the None (Default) option is used, which will not group any item within the the report.
- Hide Income activity – When this option is selected the report will hide any income activity within the report.
